Castleton Commodities International, a leading Merchant Commodity Trading and Investment firm located in Stamford, CT is hiring an Administrative Assistant to work as a #2 assistant to the Chief Executive officer as well as provide support to the Chief Strategy Officer and will provide support to the Chief Operating Officer and Investor Relations Manager when they are in Stamford. Candidates should have a strong attention to detail, professional presence, and have the ability to work in a fast paced environment.


  • Heavy calendar management; internal/external meetings and conference calls (between multiple time zones)
  • Coordinating high volume of international and domestic travel using Concur and American Express Travel
  • Weekly expense reporting using Concur and paper submission of expense reports
  • Invoice management for all HR expenses
  • Management of incoming calls
  • Creating PowerPoint presentations
  • Data entry, manipulation, and analysis in Excel
  • Preparing legal documents for execution, delivery, and submission
  • Managing of timecards for employees including approval of time-off requests
  • Preparing printouts of meeting materials
  • Processing visa requests for international business travel
  • Ordering and maintain office supplies
  • Management of incoming mail and processing of FedEx
  • Management of corporate apartment (booking dates for visitors, arranging cleaners, ordering supplies)


  • Minimum of 4 years of prior experience in an Administrative role in a financial services firm or otherwise a fast paced environment.
  • Bachelor's degree required
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Strong attention to detail and organizational skills
  • Ability to interact effectively with all levels of employees
  • Ability to work on multiple projects in a fast paced environment
  • Pro-active team player, flexible, dependable, professional attitude
