Summary of Position

The Administrative Assistant will handle the day-to-day administrative duties for the SVP, Brand & Creative and SVP, Originals & Digital Marketing. In addition to general administrative work, the Administrative Assistant will support calendar management, meeting coordination, travel arrangements, preparation of meeting materials and presentations, and tracking of deliverables. The ideal candidate for this role is driven, organized, professional, and interested in growing their career in entertainment marketing.

Responsibilities

  • Manage and maintain executives’ calendars, assist in meeting preparation conference room setup, and schedule/ coordinate meetings, conferences, and teleconferences. Attend and take notes as applicable. 
  • Screen incoming calls and correspondence and respond independently when appropriate
  • Manage a high level of communication with internal and external contacts, including internal staff, management, executive producers, and showrunners
  • Track team’s Holidays, Out of Office, and Announcements
  • Arrange domestic and international travel as needed
  • Prepare expense reports and departmental invoices, including coding, scanning, and reconciling; experience with Concur and/or other expense systems
  • Develop processes that simplify, automate, and add reliability to all departmental procedures
  • Create, update weekly, and maintain databases and key spreadsheets
  • Prepare agendas, decks and other materials for department meetings and presentations
  • Work with Facilities and IT team on office needs and to expedite technology requests
  • Maintain confidentiality and discretion for all conversations, meetings, and documents

Qualifications and Skills

  • Bachelor’s degree or relevant administrative experience
  • Strong computer skills including Outlook, Google Drive (Docs, Sheets, Slides)
  • Excellent organization, time, and project management skills
  • Exceptional written, verbal, and interpersonal communication skills and previous experience working with senior executives
  • Self-starter with the ability to multitask, prioritize, and work proactively in a fast-paced, high-volume, creative and deadline-oriented environment
  • Appropriate time management and prioritization, and close attention to detail

Compensation

$50,000 - $55,000
