Shift

Job Summary

The Administrative Support Associate I in Human Resources Employment is part of a collaborative team working in a fast-paced environment to provide exceptional customer service to job applicants and university hiring officials. This position will be responsible for providing technical and administrative support to the Career Employment team. Technical support will encompass several systems including UK’s employment system, the Integrated Employment System/applicant tracking system.

Responsibilities will include:
  • initiating hiring proposals
  • reviewing and approving payroll authorization forms
  • completing 6-month holds
  • reopening positions
  • reactivating applications
  • fulfilling requests for personnel file reviews


Administrative support will include, but is not limited to:
  • conducting research
  • coordinating materials for interviews or training sessions
  • managing department purchases and processing payments
  • communication with applicants and hiring officials
  • other requests needed by the Career Employment team and HR Employment leadership


This individual will support the Customer Service team by:
  • promptly and enthusiastically answering phone calls received from the HR Employment automatic call distribution phone system and own phone line
  • effectively referring customers to appropriate area of HR
  • providing front line customer service to walk-in traffic when needed and/or requested
  • being responsible for successfully assisting all customers, which can include, but is not limited to:
    • completing I-9 forms and other new hire paperwork
    • facilitating general HR inquiries and ensuring appropriate guidance
    • completing opening and closing procedures when needed


This position will complete assigned tasks per department standard operating procedures, related UK policy and procedures, and relevant state and federal employment laws. This role will contribute to the continuous improvement of department services and the division’s reputation by actively engaging in work teams and projects, identifying potential areas for improvement, and assist in developing employment resources for both applicants and hiring managers.



Skills / Knowledge / Abilities

We are seeking an individual with initiative, superior customer service focus, team orientation, excellent written and oral communication skills and the ability to build strong working relationships. A successful candidate will also have technical knowledge, the ability to multi-task with a strong emphasis on accuracy and attention to detail. Solid time management, problem solving, critical thinking, follow-through, stress tolerance, planning, and organizational skills are all critical to success in this position. A high level of respect for confidentiality and diversity are a must.
