Position Description

This full- time administrative position reports to the Dean for Faculty Affairs. The Associate Dean has a senior leadership role in the Office for Faculty Affairs at Harvard Medical School (HMS) and will have expertise in and responsibility for oversight of all senior faculty recruitment, appointments, and promotion processes at Harvard Medical School and will participate in a broad range of strategic projects designed to improve Harvard Medical School’s faculty appointments processes and policies.

In addition to related duties as required, responsibilities include:

Senior Appointments and Promotions

  • Leads dedicated team of 4 doctoral-level Program Directors (PD) for faculty appointments, 4 staff support Promotions Coordinators (PC) managing professorial appointments and promotions
  • Advises faculty and department chairs on senior recruitment, appointments, and promotions, and communicates with chairs about promotion outcomes
  • Oversees the interpretation, implementation, refinement, dissemination of policies related to senior faculty appointments
  • Oversees the seating of committees related to senior promotion and its voting actions, including the Subcommittee of Professors, the Professor of Clinical X Review committee, and the Social Science Council
  • Serves as a Dean’s office representative in strategic meetings relevant to Faculty of Medicine governance (e.g., Faculty Council, Council of Academic Deans, Office for Clinical and Academic Affairs senior staff)

Endowed Professorships and Emeritus Nominations
  • Oversees the endowed professorship nomination process (incumbents, transitions to distinguished, transitions to emeritus), including communications with departmental/institutional leadership and the Provost’s Office
  • Collaborates with the Office of Alumni Affairs and Development as a local expert on endowed professorships for departmental and institutional leadership as well as the HMS Office of Finance, including setting the agenda for quarterly joint meetings
  • Oversees the emeritus nomination process, supervising outreach to departments and institutions

Committee Leadership
  • Manages Social Science Council: responsible for assessment of candidates reviewed by this group and senior management of meetings

Basic Qualifications

  • Advance degree (PhD, MD, or equivalent) in relevant field.
  • At least 5-7 year of relevant experience as a senior administrative leader in higher education, either as a faculty or staff. If faculty, academic credential should be commensurate with Professor or Associate Professor at Harvard Medical School.

Additional Qualifications and Skills

  • Background in basic science, translational, and/or clinical research strongly preferred.
  • Proven expertise in academic affairs, with prior supervisory experience of staff highly preferred.
  • Demonstrated ability to work effectively with senior leaders, faculty, and administrators to assess needs, align priorities, and implement policies in a large, decentralized institution.
  • Excellent interpersonal skills including responsiveness in communication, diplomacy, and openness to diverse perspectives.
  • High ethical standards in managing sensitive situations and confidential information.
  • Excellent verbal and written communication and presentation skills.
  • Strong problem-solving skills, with experience in innovation, pragmatic flexibility, managing multiple workstreams, and working under time constraints.
  • Proficiency with technology, data organization, and data reporting.

Work Format Details

This position is based in Boston, but the work may be done primarily remote. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). Individual flexible and remote work options for this role will be discussed during the interview process. *Note: Harvard employees working in California must be exempt
