The Jr. Labor Relations Specialist will support the Labor Relations Manager by providing a wide range of administrative and operational assistance. The primary role of this position is to ensure smooth labor relations functions by coordinating documentation, handling grievances, preparing reports, and maintaining communication between the company and union representatives. The Jr. Labor Relations Specialist will also participate in collective bargaining, dispute resolution, and labor contract administration as directed by the Labor Relations Manager.
Key Responsibilities:
- Administrative Support
- Prepare and maintain labor-related documentation, such as grievances, arbitration records, and disciplinary actions.
- Manage and organize labor relations files, ensuring confidentiality and accuracy.
- Assist with preparing materials and reports for labor negotiations and meetings.
- Maintain schedules, arrange meetings, and coordinate communications between management and union representatives.
- Grievance Handling & Dispute Resolution
- Monitor, log, and track grievances in coordination with the Labor Relations Manager.
- Provide preliminary research and fact-finding for grievance investigations.
- Assist in resolving minor disputes between employees and management.
- Labor Contract Administration
- Assist in interpreting collective bargaining agreements (CBAs) and provide summaries of relevant sections to management.
- Ensure consistent application of labor policies and contracts across departments.
- Maintain updated versions of CBAs and other labor agreements.
- Compliance & Reporting
- Ensure compliance with federal, state, and local labor laws, as well as company policies and collective bargaining agreements.
- Prepare reports related to labor relations metrics, grievances, arbitration results, and policy compliance.
- Assist in conducting labor relations audits and evaluations.
- Collective Bargaining Support
- Assist in organizing and maintaining records during collective bargaining negotiations.
- Provide administrative support during bargaining sessions, including taking notes and documenting agreements.
- Compile and analyze data to assist with negotiations.
- Employee Relations & Communication
- Act as a liaison between management and employees, ensuring effective communication regarding labor policies.
- Address routine employee inquiries related to labor relations policies and procedures.
- Other Duties
- Support ad-hoc labor relations projects as assigned by the Labor Relations Manager.
- Stay updated on labor relations trends, laws, and best practices.
- Education:
- Bachelor’s degree in Human Resources, Industrial Relations, Business Administration, or a related field is preferred.
- Experience:
- 1-2 years of experience in HR, labor relations, or a related administrative role. Internships in labor relations or HR are also applicable.
- Skills & Competencies:
- Strong organizational and administrative skills, with high attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Basic understanding of labor laws, regulations, and collective bargaining agreements.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Kronos and SAP systems.
