Job DescriptionPURPOSE AND SCOPE:
The Specialist IV, Records will be responsible for processing and maintaining the accuracy of student information in the areas regarding graduation, transcripts, VOE, PLA's, and student change forms. Under limited supervision, provide a wide array of functions within Records and Enrollment, such as state reporting, enrollment issues, and the maintenance of student records documents and files. The position will also be responsible for a wide range of functions in the Records & Enrollment Services area including degree audit, graduation, inbound and outbound transcripts, enrollment verification, and data integrity.
ESSENTIAL JOB FUNCTIONS:
- Respond and complete requests from the Student Records email box such as processing and printing transcripts to the campus or the students, honors, core curriculum completion, etc.
- Assist and solve issues relating to new applicants, returning applicants, holds on accounts, registration, dropping classes, or any other issues that may arise
- Provide assistance to students with the application process by providing them with information on testing, writing assessments, and ESOL courses
- Evaluate and process students' records and applications accurately ensuring federal, state, and college policies are followed
- Assist with hiring/supervising/training staff and proctors; primary point of contact
- Provide LSC with information, handle complaints, and answer complex questions via phone, e-mail, and online tickets; run a variety of reports/queries requested by internal contacts
- Recommend work procedures and processes that support LSC and the departmental standards, procedures, and strategic directives center
- Process and research various records such as student change forms, VOE's, and PLA's
- Assist with event planning and coordinating resources and schedules
- Receive, process, scan, index, and audit transcripts and other student record documents into OnBase and iStar; receive transcripts and process for graduation
- Serve as the Backup for building and maintaining external transfer catalogs
- Track and record daily statistical information regarding transcripts, and diplomas
- Responsible for other reasonable related duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES:

PHYSICAL ABILITIES:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.
WORK SCHEDULE AND CONDITIONS:
- Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment
- Interface with internal and external contacts as needed to carry out the functions of the position
- Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
- High School Diploma or GED and at least 5 years of experience, or an equivalent combination of education and experience
Hiring salary range is $33,540 - $38,571.
Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education.
