Description

Idaho National Laboratory is hiring a Technology Deployment Project Administrative Assistant to work in our Commercial Partnerships and Tech Transitions department. Our team works a 9x80 schedule located out of our EROB facility name onsite in Idaho Falls, Idaho with every other Friday off. You will report to the Director of this department.

This role (1) ensures the smooth operation of the technology department's projects, proposals, and programs; (2) contributes to the successful administration and execution of technology transfer projects, thereby enhancing the lab's impact and securing additional funding; and (3) will also managing reception responsibilities and provide back-up support to other administrative actions.

Responsibilities Include:

  • Compose, types, edits, and proofs a variety of documents, reports, and correspondence. Design charts and graphs to be used in oral presentations. Initiate and respond directly to correspondence of both routine and non-routine nature. Respond to problems/inquiries and complete periodic and special reports.
  • Order supplies by generating requisitions through our organization provided systems. Is the Point of Contact (POC) and escort for vendors performing maintenance on office equipment.
  • Receive, refer, and answer mail, walk-in, and telephone inquiries regarding organization activities.
  • Efficiently manage multiple calendars with accuracy and efficiency while prioritizing needs. Proactively resolve scheduling conflicts and coordinate collaborative meetings.
  • Support office operations by coordinating requests for information or providing general direction to others across INL.
  • Coordinate travel accommodations for organization(s) and prepare travel expense records.
  • Handle project classified and unclassified sensitive data and materials according to protocol while maintaining surveillance against security infractions and violations. • Advise managers and personnel in making decisions to retain, store, or destroy organization records, ensuring special record-keeping requirements are met for various record classifications.
  • Maintain office records and files and ensure confidentiality and security of sensitive and controlled documents.
  • Logistical space coordination and onboarding of new employees. Facilitate phone/move requests, and other maintenance and service requests for employees. Property management and space management.
  • Monitor status of critical items, assignments, and deadlines to ensure completion.
  • May escort un-cleared visitors.
  • Other responsibilities as assigned.
Qualifications

Minimum Requirements: 

  • Bachelor’s and 5 years of experience. Master’s and 2 years of experience.
  • This position requires the ability to obtain and maintain a Department of Energy "L" clearance, which requires US Citizenship. 


Job Information: 

  • The pay range for this position is $25.18min - $36.13max. At Idaho National Laboratory compensation decisions are determined using factors such as education, relevant experience, and other credentials.
